What is an activity or event committee?

All events are run by a volunteer committee headed by a committee chair and comprised of four or more volunteers.   The committee itself may then administer the event, or the committee may have subcommittees that administer the event.

All Council and District Committee members should aim to serve in a position for 3-5 years.  After this time, it is best for the committee and the volunteer to move to a new position.

Common positions on an activity or event committee are listed below.  Not all committees need all positions and some committees may have positions not included on this list.  A sample job description is included but is only a sample and positions can differ based on volunteer and event needs.  If you need a google doc version of the sample job description, please reach out to [email protected]

Do some positions have nationally outlined position descriptions?

National trainings with syllabi, such as Wood Badge and NYLT, should use the position descriptions included with the Course Admin Guide or Syllabus.  More information about these can be found by attending your local Course Director Conference or reaching out to the Training Chair (use the contact form at the bottom of the page).

National has job descriptions for several key Council and District Positions.  These include the following

What are the steps to picking and recruiting a new staff member?

  1. Review the activity and Position Descriptions of need positions with Staff Advisor.
  2. Look at who staffed last year and might be a fit for any needed positions.
  3. Reach out to the person and ask “Would you serve if asked”?
  4. If they say no, thank them for their consideration and all they do for Scouting.
  5. If they say yes, contact the event Staff Advisor to review and consider potential recruits.
  6. After Staff Advisor approval, officially ask if the person will serve in the position.
  7. Provide the person time to consider the offer and discuss with their family.
  8. Send them the position description and answer any questions they may have. Include the event Staff Advisor on communications.
